PDF watermarks, page sizes, N-up and metadata: practical limits
Choose PDF watermarking, A4/Letter resizing, N-up layout or metadata cleanup. Learn what happens to forms, signatures and information outside the visible page.
Watermarks label a document
The watermark tool centers diagonal text in each visible PDF page. Choose a requested font size and opacity, then inspect each generated page. A long label shrinks to fit mixed page sizes; the built-in font accepts 1–80 printable ASCII characters such as DRAFT or INTERNAL.
A watermark is not encryption and can be removed by a PDF editor. Access restrictions belong in your document distribution process.
The PDF metadata workspace reads existing Info fields and detects document XMP. Choose Edit when document XMP is absent, Replace when its older values conflict, or Clear for supported metadata cleanup. None replaces redaction or signature verification.
Resize paper or arrange multiple pages
Resizing fits the visible crop of each source page proportionally onto A4 or US Letter. Choose minimum margins and match each page's orientation or set portrait/landscape for all pages. It does not stretch the contents or include artwork hidden outside the source crop.
N-up fits the visible crop of each source page into two or four slots per A4 or Letter sheet. Two-page output is landscape, four-page output is portrait, and each slot has a 0–100 pt whole-number margin. Reading order runs left to right, then top to bottom; the last sheet can be partly blank. Preview every output sheet and normalize rotated source pages first.
Check whether interactions matter
Resizing and N-up place page artwork in a new document; interactive forms, annotations and bookmarks are not carried over. Retain the source if they are important.
Editing may invalidate digital signatures. Inspect the last page, mixed page sizes and margins as well as the first page.
Metadata cleanup is not redaction
Edit keeps other metadata and changes title, author, subject and keywords in Info. Replace removes the entire document XMP entry before writing those fields, including properties not shown in the form. Clear removes standard Info plus document and page XMP entries.
Visible text, attachments, annotations and other embedded objects are outside that cleanup scope. Removing metadata alone does not remove personal information from a document.
Decide what must survive the transformation
A six-page portrait handout arranged four-up produces two output sheets; the second contains only the remaining two pages. Check that those final pages are present and legible rather than judging only the first full sheet.
If forms, annotations, bookmarks or signatures matter, keep an untouched copy and review the specific operation before use. Resizing and N-up embed page artwork into a new document, which is different from preserving the original interactive document structure.
| Operation | Suitable purpose | Do not assume |
|---|---|---|
| Text watermark | Mark a review copy | Encryption or access control |
| Resize to paper | Fit artwork proportionally | Preserved interactive forms |
| Two-up / four-up | Make compact handouts | Unchanged text size |
| Clear metadata | Remove supported Info/XMP | Removed visible private content |
Before you finish
- Normalize rotated source pages before resize or N-up.
- Inspect mixed page sizes and the final partially filled sheet.
- Use 1–80 printable ASCII characters for the built-in watermark font; shorten text that cannot fit at 6 pt.
- Open the downloaded PDF and check text, margins and metadata separately.
