A PDF can look finished while its delivery layers still need review

Use a project handoff example to distinguish navigation, visible review marks and embedded source files. Decide what should travel with the PDF before sending it.

Follow one handoff through three checks

Consider a three-page project summary with an appendix, reviewer notes and an embedded data export. The recipient wants a readable summary and the source data. Reprinting the visible pages can lose the attachment and the navigation. Removing every annotation can also remove useful links or form controls. Choose each change deliberately.

A title alone does not validate a bookmark

A bookmark titled Appendix may still point to a former page after editing elsewhere. Compare the target with the current page order. A flat replacement list can be useful for a short handoff, but it replaces a rich nested outline. Inspect the existing hierarchy before making that tradeoff.

Review cleanup has a precise meaning

Clearing active comments changes the review layer. It does not erase confidential text from page content or guarantee that discarded objects are absent from the file. If the handoff requires confidential-data removal, review cleanup is insufficient. Keep the operation’s report as evidence of what was selected and retained.

An embedded file and an external link behave differently

An embedded attachment has payload bytes inside the PDF; an external file reference may point to a location the recipient cannot access. A local extraction report distinguishes them. Zero extracted files therefore does not establish that the PDF has no references. If filenames are normalized for local safety, preserve the map so the receiver can trace them back.

Test the recipient’s next action

  • Open the final PDF in the reader the recipient uses and follow its navigation.
  • Check a retained link and a form value after clearing comments.
  • Open the extracted source file and compare its byte count with the report.
  • Keep the original alongside the delivery evidence until the handoff is accepted.
